Archiving and deleting clients

Archive to pause a client, restore any time, or delete for good from CRM → Archived.

Archive a client

Archiving moves a client out of CRM → Clients and turns off portal access for everyone at that company. Nothing is deleted: their projects, invoices, files and history are all kept.

  1. 1

    Open CRM → Clients

    Find the client.

  2. 2

Open the ⋯ menu and choose Archive

The client moves to the Archived tab.

The Archived tab

CRM → Archived (owners and admins only) lists every archived client with their contacts, projects and creation date.

  • Restore puts the client back in your list and turns their portal access back on.
  • Delete permanently removes the client for good.

Deleting permanently

Deleting is only available for archived clients, and only to owners and admins. It's deliberately hard to do by accident:

  1. Orbinly shows exactly what will be removed: projects, invoices, contacts, proposals, contracts, messages and files.
  2. If the client has paid invoices, you get an extra warning with how many and their total, so you can export first.
  3. You must type the client's exact name before the delete button works.
Permanent deletion can't be undone. It removes the client's projects, invoices, files and messages, and their contacts lose portal access. Export what you need first (see Exporting your data).
Deletions are recorded in the audit log with the client's name and what was removed. Contacts' sign-in accounts are left in place.
