Contacts and portal access

Add people to a client, invite them, and control who can sign in.

Adding a contact

  1. 1

Open the client and find the Contacts card

Press Add. Enter their name and email, and optionally a role (see Contact roles and permissions).

  2. 2

    They're invited by email

The invite works for 24 hours, can be reopened on any device, and signs them in with no password.

  3. 3

    They appear on the card

A line under their name shows Never logged in, then Last seen once they've used the portal.

You can also add a contact from CRM → Contacts using Add → Add contact and choosing the client.

The ⋯ menu on a contact

  • Edit details: change their name and phone. Their email is their sign-in address, so it can't be edited; to use a different address, add them again and remove the old contact.
  • Disable access / Enable access: stop or allow this one person from signing in, without deleting anything.
  • Resend invite: for people who haven't signed in yet. Sends a fresh 24-hour link.
  • Send sign-in link: for people who've been in before, emails a one-time link to get back in.
  • Copy portal link: copies the portal address to share yourself.
  • Remove contact: deletes them and their portal access. A client's only owner contact can't be removed; make someone else an owner first.

Turning a whole client off

To switch off portal access for everyone at a company, archive the client. Their data is kept, and restoring turns access back on.

Who can invite whom

  • Your team invites contacts from the admin.
  • A client's owner contact can invite their own teammates from the portal's Team page. See The client's Team page.
If a contact's email already has an Orbinly login (because they work with another agency, say), they're simply added as a contact and receive an "added to a company" email instead of a new-account invite.
