Team members and roles

Invite teammates, understand owner, admin and member, and manage access.

Add teammates from the Team page. Each person gets their own login, and you control what they can do with a role.

The three roles

RoleWhat they can do
OwnerEverything. There is one owner (the person who created the workspace). Only the owner can change other people's roles or act on an admin's account.
AdminRun the workspace: invite and manage members, change settings, branding, billing and apps, set up Stripe and automations.
MemberDo the day-to-day work with clients, projects, invoices, files and messages. Members can't invite people or change workspace settings, and see an "Owners and admins only" notice on admin pages.

Inviting someone

  1. 1

    Open Team and choose Invite

Enter their email and choose Admin or Member.

  2. 2

    They get a branded email

The link lasts 24 hours and can be reopened. They set a password and accept the Terms, then they're in.

  3. 3

    Resend if needed

Until they've joined, the row menu has Resend invite, which sends a fresh link even after 24 hours.

Managing a team member

Each person's ⋯ menu on the Team page has the options you're allowed to use:

  • Edit details changes their name.
  • View activity shows their last 30 actions.
  • Reset password emails them a link to choose a new one (not available for your own account).
  • Change role between admin and member (owner only).
  • Deactivate removes all access immediately but keeps their record, role and history. Reactivate brings it all back with one click.
  • Remove takes them off the team. Their login stays, so you can invite the same email again later.
Owners can act on admins and members. Admins can act only on members. Nobody can deactivate or remove the owner, or deactivate themselves.

Seats

How many people your team can hold depends on your plan: 1 on Free and Starter, 3 on Professional, 5 on Advanced, and unlimited on Enterprise. A deactivated person still takes up a seat; remove them to free it.

Going on leave or switching roles? Deactivate instead of removing, so nothing is lost and they can return in one click.
