Views, filters and sorting your lists

Use the tabs, search, filters and Sort by above a list to find what you need, and save your own views.

Most lists in the admin share the same layout, so once you know one you know them all. From top to bottom: view tabs, a row with search, Filters and Sort by, the filter chips, the list, and a footer bar that stays at the bottom of the window.

Views

The tabs across the top are ready-made views for that page, for example Unpaid, Overdue and Paid on Invoices, or My tasks and Due this week on Tasks. Click one to apply its filters. All shows everything.

Change a filter and the tabs show Custom view. Press Save view, give it a name, and it becomes your own tab (hover it and press × to delete it). Saved views are kept in this browser, so they're yours alone.

Sort by

Sort by reorders the list, for example by newest, due date, amount or client. Pick the same option again to flip the order. On tables, clicking a column heading does the same.

The bar at the bottom shows how many items are in the list and a few totals that matter on that page (for example Outstanding and Paid on Invoices, or the pipeline value on Deals). It follows the filters, so the totals are for what you're looking at. Export saves exactly those rows as a spreadsheet (CSV).

Filters

Each page offers the filters that make sense for what it shows. The Filters button hides or shows the chip row and tells you how many are on.

  1. 01

    Click a chip

For example Status, Client or Due date. A small panel opens.

  2. 02

    Choose

Tick one or more values, pick a date range, or type a minimum and maximum amount. The list updates as you choose.

  3. 03

    Close the panel

Click anywhere else or press Esc. The chip now shows what you picked, for example Status: Paid, Sent.

Kinds of filter

  • Pick several (status, client, tags, role): tick as many as you like. An item shows if it matches any of them. Long lists have a search box.
  • Dates (due date, created, last seen): choose Today, Last 7 or 30 days, This month, Last month, This year, Next 7 or 30 days (on dates that lie ahead), or a Custom range. Items with no date are hidden while a date filter is on.
  • Amounts (amount, value, outstanding): type a minimum, a maximum, or both, in dollars.

Using several at once

Filters combine: an item has to match every filter you set, and your search too. Showing 6 of 9 at the right of the row tells you how many items are left. Click the × on a chip to remove that filter, or Clear all to start over.

Note

Filters and sorting are for looking, not changing anything: they only change what you see on your screen. They reset when you leave the page, unless you saved them as a view.
